Accessing Your Inbox

To manage your conversations, click on Inbox in the left-hand menu under the Prospecting section.

Once you're in the Inbox, you'll see all conversations from your connected LinkedIn account(s).

If you have multiple accounts connected, you can easily switch between them to view each account's inbox separately.


Unified Inbox

If you have multiple LinkedIn accounts connected, you can view all conversations from every account in one place by clicking Unified Inbox in the top right corner.

This combines all your inboxes into a single, consolidated view so you don't have to switch between accounts.

You can also organize your Unified Inbox by folders if you've set up different accounts in different projects.


Sync Inbox & Delete History

At the top of the Inbox page, you'll find two important buttons:

Sync Inbox: This syncs your existing LinkedIn inbox conversations into Conversifi, pulling in any messages that haven't been imported yet.

Delete History: This deletes your conversation history if you want to start with a clean slate.


Filtering Conversations

Click on Filters to narrow down which conversations you see.

You can filter by:

Unread: Shows only conversations where the prospect has replied but you haven't opened the message yet.

Archived: Shows conversations you've archived.

AI Paused: Shows conversations where you've turned off the AI so you can manually handle the replies.

Time Range: Filter conversations by date (All time, Today, This week, This month).

Tags: Filter conversations by custom tags you've created (e.g., "interested," "not interested," "follow up later").


Pausing AI for Manual Replies

If you want to manually handle a conversation instead of letting the AI respond, you can pause the AI using either of these methods:

Option 1: Click the AI pause icon in the top right corner of the chat box

Option 2: Click the three dots menu next to a person's name and select Pause AI

Once paused, the AI will stop responding to that prospect, and you can reply manually. You can filter for all AI-paused conversations using the Filters menu.


Viewing LinkedIn Profiles & Downloading Conversations

In the top right corner of each conversation, you'll see two icons:

LinkedIn icon: Opens that person's LinkedIn profile directly on LinkedIn so you can view their full profile.

PDF icon: Downloads a PDF copy of the entire conversation with that person, useful if you want to analyze it externally or save it for your records.


Tagging Conversations

Tags help you organize and categorize your conversations for easy filtering later.

How to Create Tags:

1. Click on a conversation

2. Click Manage (next to the "Add Tag" button)

3. Create your custom tags (e.g., "interested," "not interested," "needs follow-up," "hot lead")

How to Add Tags:

1. Click Add Tag on any conversation

2. Select the tag you want to apply

Once tagged, you can filter your inbox by specific tags to quickly find all prospects in a certain category.


Bulk Actions

You can select multiple conversations at once using the checkboxes in the top left corner of each conversation card.

Once selected, you can perform bulk actions such as:

● Pause AI for multiple conversations

● Mark multiple conversations as read

● Archive multiple conversations

You can also click Select all at the top of the page to select every conversation currently visible.


Sending Manual Messages

If you've paused the AI and want to send a manual message:

● Type your message in the text box at the bottom of the conversation

● Press Enter to send the message

● Press Shift + Enter if you want to create a line break without sending

Archiving Conversations

If you want to clean up your inbox without deleting conversations, you can archive them:

1. Click the three dots menu next to a conversation

2. Select Archive

Archived conversations can be viewed anytime by filtering for "Archived" in the Filters menu.


Quick Tips for Effective Inbox Management

✅ Use tags consistently to categorize prospects (interested, not interested, follow up, hot lead, etc.)

✅ Use the Unified Inbox if you manage multiple accounts to see everything in one place

✅ Pause AI selectively for high-value prospects or sensitive conversations where you want personal control

✅ Download PDFs of important conversations for your records or to share with your team

✅Filter by time range to focus on recent conversations and avoid getting overwhelmed

✅Use bulk actions to quickly organize large numbers of conversations at once.

Your inbox is now fully organized and easy to manage. With tagging, filtering, and selective AI pausing, you can stay on top of all your LinkedIn conversations without getting overwhelmed.
